From intake to launch, and what happens after.

Four stages, no surprises, and a written quote before any work starts. Here is what each stage asks of you and what it produces.

The four stages: intake, build, launch, maintain

Build payments run 40% to begin, 40% on the first complete draft and 20% on acceptance. A refresh is 50% and 50%.

Intake

You complete the intake form — about ten minutes. We learn your practice or program, your voice, your materials, and what you want the work to accomplish. We reply by email within two business days and schedule a free 30-minute scoping call. After the call you get a fixed written quote.

Build

We design the work around you and draft everything in your voice, working from your existing handouts and a structured interview. You see a complete draft site, not a wireframe. Nothing clinical goes live until you have verified it.

Launch

Domain, hosting, analytics, and search-console setup, all under accounts you own. The secure padlock is verified, form notifications are delivered to an inbox you choose, and we hand you the keys, literally. There is no separate go-live fee.

Maintain

Optional. Ongoing updates, new education content, and technical upkeep, so the work keeps working while you keep operating. Cancel any month; the site stays yours regardless.

What we need from you

Less than most people expect, but the few things that matter really do matter — a project runs long for exactly one reason, and it is usually access.

  • Your existing materials. Patient handouts, consent forms, anything you already hand out in clinic. Paper scans are fine.
  • Your voice. An hour or two of structured interview, plus any writing samples that sound like you. This is the part nobody else can supply.
  • Your review time. Verification of every clinical page. Most of the calendar between intake and launch is this, not us.
  • Your domain and hosting logins, before launch week. Chasing down access a previous vendor is sitting on is the one thing that reliably runs long. It is quoted first and billed hourly if it comes up.
  • One decision-maker. For practices and programs we ask for a designated decision-maker and consolidated feedback rounds. It keeps the project moving and it is why group sites can be priced the way they are.

How payment is scheduled

  • Builds: 40% to begin, 40% on delivery of the first complete draft, 20% on your acceptance of the final site.
  • Refreshes: 50% to begin, 50% on completion, with a 30-day defect-fix window on the refreshed work.
  • Every build includes a 30-day stabilization window after launch: defect fixes and up to 2 hours of minor tweaks at no charge. A care plan, if you choose one, starts the month after that window ends — so you are never paying maintenance on launch cleanup.
  • Registries, program consulting and speaking are scoped and quoted individually from a written proposal.
  • Sales tax is shown as its own line. Texas treats website work as a taxable data processing service; speaking and program consulting are not taxable.

Prefer to run it yourself?

Say the word and we hand the finished site to you deploy-ready with a plain-language runbook instead of launching it for you. Same price either way, and if you change your mind within 90 days we will still do the launch at no charge. If you have a site somebody else built that has never gone live, Launch Assist is $450: hosting under your account, domain connected, padlock confirmed, form notifications on, and registration with analytics and the search consoles.
